How to Add New Users to Your Clinic

Learn how to invite new users to your EMRG clinic, manage their roles, and promote them to Clinic Admin when needed.

How to add new users to your clinic

This guide will walk you through the process of inviting new users to your EMRG clinic, from sending invitations to managing their roles and permissions.

Important: During your onboarding meeting, please be sure to specify which initial users you would like added and specify their roles (users, admin, or providers). You can add more users and providers at any time, but your success specialist will need to add the provider roles to users, for compliance purposes.

Inviting New Users

1. Navigate to User Invites

Navigate to "User Invites" under "Clinic Management" in the SideNav.

2. Enter User Email

Type in the user's email address that you want to send the invitation to. They will be added with the role "user" which gives them limited access to your platform. Once they are added, their role can easily be promoted to Clinic Admin, which is explained later in this guide.

3. Send Invitation

Once you've populated the user's email address, click "Send Invitations" to invite the user.

4. Resend Invitation (if needed)

If the user doesn't see their invitation after 3 minutes, you can click the three dots and click "Resend Invitation" and advise the user to double check their spam folder.

5. Invitation Email

The email will look like this, with the subject line of "You're invited to Join EMRG"

6. Accept Invitation

The user will select "Accept Invitation" and then be guided to their account creation. If the button isn't working, they can copy the link provided and paste it into their browser.

7. Create Account

The user sets their first and last name, and a password that meets the parameters described.

8. Email Verification Required

Once the user sets their name and password, they will receive a verification email. If they try to login before clicking on the verification email, they will see this message displayed.

9. Verification Email

This is what the verification email looks like, with the subject line of "Verify Your EMRG Account"

The user will click the "Verify Email Address" button to verify their email

11. Complete Profile

The last step for the user to complete their profile is to add their phone number and then they will be into the EMRG clinic.

The user can see their account name and associated clinic in the bottom left hand corner.

13. Promote to Admin

Back in the Clinic Admin view, under "User Invites" you can click the three dots next to the user you added and select "Promote to Admin" to give them Clinic Admin permissions.

You will see all of the users associated roles as badges in the Role column.

  5. Security: Only promote trusted users to Clinic Admin roles

Troubleshooting

  • If invitations aren't received, check spam folders and verify email addresses
  • If verification emails aren't working, users can copy the link manually
  • For role promotion issues, ensure you have Clinic Admin permissions
  • If users can't complete setup, verify their email verification was successful
