How to Bulk Upload Products

Learn how to bulk upload products to your EMRG system using CSV templates, including detailed field definitions for both simple and medication products.

Bulk Uploading Products

This guide will walk you through the process of bulk uploading products to your EMRG system using CSV templates, including both simple products and medication products with detailed pharmacy information.

These fields are what helps all of the information autopopulate smoothly into the RxPad as compounding pharmacies have asked to see it in a standardized way.

Step-by-Step Process

1. Navigate to Clinic Settings

In the sidenav on the left side of your screen, select "Clinic Management" and then "Clinic Settings"

2. Access Product Import

In the "Bulk Data Import" section, select the "Product Import" tab

3. Download Simple Product Template

Select "Simple Product Template" to download a template that shows example fields for non-medication products.

4. Review Simple Product Template

In your downloads, open the csv template to review

5. Simple Product Fields

You will see the required fields for the bulk uploaded simple products:

  • product_name - The name of the product as it appears in your system
  • product_code - Your clinic's internal product identifier
  • category - Product category for organization
  • price - Cost to patients in USD
  • is_active - Whether the product is available for ordering
  • default_quantity - Default quantity when adding to orders
  • default_instructions - Default instructions for the product

6. Download Medication Template

To download the Product-Medication Template, select "Product Medication Template"

Medication Product Field Definitions

8. Core Product Fields

Review the required fields in the product-medication template:

  • "product_name" - The product name as it appears in your system (Example: "B12 Injection")
  • "product_code" - Your clinic's internal coding system for the product (Example: "B12-001")
  • "category" - Product category such as weight_loss, hormone_therapy, peptides, etc. (Example: "vitamins")
  • "price" - The cost to patients in USD (Example: "45.00")
  • "prescription_api" - The connection that will be used to order the medication, likely surescripts if you aren't sure, but could be a direct api that you have established with emrg as well, such as Boothwyn (Example: "surescripts")
  • "prescription_type" - Either compound or standard (Example: "standard")
  • "drug_concept" - The drug name that the pharmacy would be familiar with (Example: "Cyanocobalamin")
  • "sig" - The instructions that the patient follows (Example: "Inject 1 mL intramuscularly once weekly")
  • "quantity" - How many vials or capsules (Example: "4")
  • "dispense" - The numerated dispense value (Example: "1")

9. Additional Medication Fields

  • "controlled" - Whether it's a controlled substance or not (Example: "False")
  • "ndc" - The national drug code, if relevant (Example: "12345-6789-01")
  • "pharmacy_note" - A note for the pharmacy that the patient won't see (Example: "Please use preservative-free formulation")
  • "potency_unit_code" - The code that FDA defined for potency units (Example: "mL" which is potency unit code C28254). For reference, see the FDA Data Standards Manual
  • "default_quantity" - The default quantity (Example: "1")
  • "default_instructions" - More general instructions provided to the patient (Example: "Store in refrigerator")
  • "is_active" - Whether the product will show up in the list for your providers to prescribe to patients (Example: "TRUE")

Upload Process

10. Upload Your File

After you have prepared your product list for bulk upload, select the "Click to upload product file" box and select your file from your folders, or drag and drop your file onto the upload area.

11. Complete Upload

Select "Upload" next to your completed product list file and you're done!

12. Monitor Import Status

Review the status of your product list bulk upload in the Import History section.

Simple Product Fields

  • product_name: The name of the product as it appears in your system (Example: "Laser Hair Removal Session")
  • product_code: Your clinic's internal product identifier (Example: "LHR-001")
  • category: Product category for organization (Example: "cosmetic_treatments")
  • price: Cost to patients in USD (Example: "150.00")
  • is_active: Whether the product is available for ordering (Example: "TRUE")
  • default_quantity: Default quantity when adding to orders (Example: "1")
  • default_instructions: Default instructions for the product (Example: "Avoid sun exposure for 24 hours")

Medication Product Fields

  • product_name: Internal product name (Example: "B12 Injection")
  • product_code: Clinic's internal coding (Example: "B12-001")
  • category: Product category (Example: "vitamins")
  • price: Patient cost in USD (Example: "45.00")
  • prescription_api: Pharmacy connection system (Example: "surescripts")
  • prescription_type: Type of prescription (Example: "standard" or "compound")
  • drug_concept: Pharmacy-recognized drug name (Example: "Cyanocobalamin")
  • sig: Patient instructions (Example: "Inject 1 mL intramuscularly once weekly")
  • quantity: Number of units (Example: "4")
  • dispense: Dispense amount (Example: "1")

What Happens Next

After uploading your product list, the products will be available in your EMRG system for creating orders. You can:

  • Use the products when creating orders for patients
  • Edit product details through the Products section
  • Monitor import status and any errors in the Import History
  • Contact support if you encounter any issues with the upload process
